Lookup List Manager

Lookup List Manager allows lookup lists to be created and maintained.  A lookup list can be associated with one or more profile variables and is used to group the variables depending on their value.  For example, a lookup list based on a postcode variable could be used to group panellists into postal areas or other geographical locations based on their postcode.  These groups can then be used within prototype or sample dimensions and filters as another way of grouping panellists for quota or filtering purposes.

Lookup list groups and values can be uploaded in bulk, or can be added manually one at a time.

Groups and values within a lookup list are maintained and displayed in the order they were added.  There is a sort function which will sort the values alphabetically – however this is not a permanent sort, and the original order will revert on exit from Lookup List Manager.

From the Maintenance menu, select Lookup List Manager.  If there are already lookup lists defined they will be listed.

To edit an existing lookup list, select it either by clicking on its name, or by checking the box next to its name and then selecting Properties from the toolbar.  The Edit Lookup List dialog will be shown.

This lookup list is based on the Postcode variable. (The Postcode variable in the training database only contains the first part of a postcode). Six groups have been defined which group the postcodes into postal areas. Click on each postal area to see the postcode values associated with that group.

To create a brand new lookup list, click on the New button in the Lookup List Manager toolbar.  This will display the New Lookup List dialog, and a new lookup list can be defined.

Lookup List Groups

Adding groups

Add a new group by clicking on the Add Group button in the Groups toolbar and entering the new group name.

Alternatively, several groups names can be pasted in from the clipboard using the Paste Groups button. Any duplicate group names will automatically be ignored. Before pasting, group names should first be copied to the clipboard from excel or a text file - up to 100,000 values at a time.

Note that when using a browser other than Internet Explorer an intermediate Paste Clipboard Data dialog will appear into which the values should be pasted.  This is due to restricted clipboard access on other browsers with specific security features.

Editing groups

Edit an existing group name by selecting it and clicking on the Edit Group button.

Deleting groups

Delete a group by selecting it and clicking on the Delete Group button. Groups are not permanently removed from the database.

View deleted groups by selecting the Show deleted groups checkbox.

Groups that have been deleted can be made available again using the Undo delete Group button.

If you have not yet saved the group using the OK button it will not be available for undo delete.

To save changes to the groups you must click on the OK button which will also exit Lookup List Manager.

Sorting groups

The groups within a lookup list are maintained and displayed in the order they were added.  The groups can be sorted alphabetically by clicking on the Sort button. Click again to revert to the original order. Sorting does not change the order permanently and the original order will revert on exit from Lookup List Manager.

Lookup List Values

To maintain lookup list values, first select the group you wish to work with.

Adding values

Add a new lookup list value by clicking on the Add Value button in the Values toolbar and entering the new value.

Alternatively, several values can be pasted in from the clipboard using the Paste Value/s button. Any duplicates values within the group will automatically be ignored.  Before pasting, values should first be copied to the clipboard from excel or a text file - up to 100,000 values at a time.

Note that when using a browser other than Internet Explorer an intermediate Paste Clipboard Data dialog will appear into which the values should be pasted.  This is due to restricted clipboard access on other browsers with specific security features.

Remove values

Remove a value by selecting it and clicking on the Remove Value button.

To save changes to the lookup list values you must click on the OK button which will also exit Lookup List Manager.

Sorting values

The values within a lookup list group are maintained and displayed in the order they were added. The values can be sorted alphabetically by clicking on the Sort button. Click again to revert to the original order. Sorting does not change the order permanently and the original order will revert on exit from Lookup List Manager.

Lookup List Variables

Before a lookup list can be used in a sample dimension or filter, a variable must be associated with it.

Adding variables

Add a variable to a lookup list by clicking on the Add Variable button in the Variables toolbar. The Select Variables dialog will be displayed.  Expand the folders to select the required variable that contains the values in the lookup list, or use the Search function to find it.

Only user-defined profile variables can be associated with a lookup list.  More than one variable can be associated with a lookup list.  Only text or numeric variables should be used as lookup-list variables.

The profile variables that are shown in the Select Variables dialog are defined in Hierarchy Manager, which can be found within the Maintenance menu.  In order to be available for use in a lookup list, a variable must have the ‘Allowed in Lookup list’ checkbox ticked.

Remove variables

Remove a variable from a lookup list by selecting it and clicking on the Remove Variable button.

To save changes to the lookup list variables you must click on the OK button which will also exit Lookup List Manager.

Deleting Lookup Lists

Lookup lists may be deleted using Lookup List Manager, but are not permanently removed from the database.  A deleted lookup list will not appear in either the dimension or filter selection dialogs in Sample Manager.

To delete a lookup list, select it by clicking on the checkbox next to its name, then click on Delete in the toolbar.

View deleted lookup lists by clicking the Show Deleted checkbox.  Lookup lists that have been deleted can be made available again using the Undo Delete button in the toolbar.
